The QuickBooks interface allows pcs Odyssey to transfer all of its transaction information into the QuickBooks accounting software, as an End of Day process.  Currently this product supports Customer Invoicing, Work Orders, and Rental Contracts.  The interface has been designed utilizing a list of requirements from the QuickBooks Software, which imports the required information from pcs Odyssey into the QuickBooks program.  By using this method of communication, QuickBooks will handle all of your Accounts Payable and General Ledger information; pcs Odyssey will maintain Inventory Management, Accounts Receivable and all of your Point of Sale needs.

  • Software – The user is responsible for acquiring a copy of QuickBooks.  QuickBooks Pro, Premier, and Enterprise 2002 and up are supported. (NOTE: QuickBooks Basic is not supported)

 

The following information will assist you in deciding which version of QuickBooks to purchase.  We will provide the interface and documentation.

  • QuickBooks Interface will only be available to users using Windows 98 or greater machines on their Network.
  • QuickBooks Pro and Premier cost between $199.95 and $1,499.95 (US Dollars) and are limited to 14,500 items combined from Customers, Vendors, Employees and are limited to 14,500 items combined from Pay Codes, Tax Codes, Inventory, Labor Codes.
  • QuickBooks Enterprise costs $3,500 (US Dollars) and is limited to 29,000 items combined from Customers, Vendors, Employees and is limited to 29,000 items combined from Pay Codes, Tax Codes, Inventory, and Labor Codes.

 

The following briefly describes the pcs Odyssey QuickBooks interface:

  • Existing QuickBooks Users will lose all of their current QuickBooks information when using the interface (which will be replaced with new interface data that is compatible with pcs Odyssey). The information will not technically be lost; it will now show up as beginning balances. By exporting a fresh batch of data, we are able to insure the end user, that all of the required information is in QuickBooks.  The interface from pcs Odyssey to QuickBooks is not Bi-Directional.  Payments and entries must all be done from the pcs Odyssey side.  Any entries done on the QuickBooks side will not transfer back to pcs Odyssey. This is due to limitations on the interface’s methods of communication as required by the QuickBooks API.
  • Daily batch process posts data from pcs Odyssey to QuickBooks based on the date of posting.  This way one can post to QuickBooks at their convenience.
  • There will be NO Accounts Receivable in QuickBooks.  You will keep and use the Accounts Receivable in pcs Odyssey.  This provides several advantages.

a)     The amount of data that is transferred from pcs Odyssey to QuickBooks is reduced by about 95% as well as the daily processing time.

b)     Your staff can more readily check customer balances and credit limits from within pcs Odyssey. If Accounts Receivable were in the QuickBooks side, there would be no way of getting the on-the-fly balances, limits, and no way for your employees to make payments on customer accounts.

c)      The previously described item limitation in QuickBooks is no longer an issue.
